Administrative Assistant

Busy clinical nutritionist is looking for a detail-oriented administrative assistant for a work-from-home, part-time employment position.

If you’ve been interested in a meaningful career supporting those with chronic skin conditions + health challenges, this is an amazing opportunity for you! 

Your responsibilities include:

  • Support day-to-day business-related activities for nutritionist and project manager
  • Coordinate and schedule appointments
  • Attend weekly meetings to take notes
  • Create, format + link handouts + other documents created by the team
  • Manage various email inboxes
  • Update SOP documents + maintain customer service inbox
  • Oversee major Asana projects for the team (helping to maintain deadlines)
  • Create + follow up on invoices
  • Update WordPress websites with updated text + images as needed
  • Support Jennifer during webinar trainings (must be available to help as these occur during evening hours between 7 and 9:30pm ET)
  • Update access for digital product customers as needed
  • Coordinate with clinic to support private clients for program access
  • Update monthly KPI reports with data from various platforms
  • Maintain a calendar of events to attend + present at
  • Support various administrative projects
  • Create graphics as well as PowerPoint presentations from approved outlines
  • Coordinate with the fulfillment center
  • Update customer feedback logs
  • Coordinate travel for team members
  • Manage product giveaways associated with the shop and other collaborations
  • Update inventory spreadsheet weekly
  • Ad-hoc duties as assigned

This is a great opportunity for someone who loves being highly organized + making sure to think 10 steps ahead.

We rely on certain platforms including:

  • Google Drive (Docs, Sheets, etc.)
  • Gmail
  • Voxer
  • Asana
  • Dropbox
  • WordPress
  • CRM (specifically Klaviyo)
  • Canva

It is essential that you have a working understanding of these platforms or are a quick study.

If you are the right fit for this position, you should be self-starting, self-motivated, extremely detail-oriented, dependable, organized, upbeat, professional, empathetic, and knowledgeable.

  • Experience challenges in maintaining focus when working remotely.
  • Are not tech-savvy or struggle to learn new platforms.
  • Are the type of person who tends to dive into a project bypassing the preliminary step of reviewing instructions.

DETAILS

Compensation: Based on previous experience

This is a part-time employee position (approximately 10-15 hours/wk) for a US-only candidate (residing in one of the following states: Pennsylvania, North Carolina, or South Carolina).

Ideally, the right candidate would be open to more hours as the position grows.

You must have access to reliable high-speed internet and phone. 

This is a busy position and will require phone or video meetings every week. If you’re interested in increasing your hours, the opportunity is there if you’re the right fit!

You must be available to attend meetings and generally work between 9am and 5pm ET.
